Custom CRM or paid CRM: which one suits your small business

1 November 2026 · iacloud · CRMs and dashboards

A CRM is simply the place where you keep your clients and what happens with each of them: who has asked, who you have sent a quote to, who has booked and who you need to call tomorrow. Many businesses keep it in a spreadsheet, in WhatsApp or in their heads. Until a client slips through the cracks.

When the time comes to get organised, the question appears: do I pay for an off-the-shelf CRM or have one built for me?

When a paid CRM makes sense

  • Your way of working is very standard (classic sales with a pipeline of opportunities).
  • You need to start tomorrow and you don’t mind adapting to how it works.
  • There are few users and the monthly fee is affordable.

The drawbacks show up over time: you pay for every user, you get a thousand features you never use and miss exactly the two you need. And your data lives in their house.

When a custom CRM makes sense

  • Your business has its own process: events with dates, quotes with services and extras, a client portal, campaigns by area…
  • You don’t want to pay per user or depend on someone else’s price changes.
  • You want to connect the CRM to your website, email or calendar your own way.
  • You want the data to be yours, on your own server.

The classic drawback used to be that it took longer and that you then depended on the developer for every change. That has changed.

What has changed: artificial intelligence

With AI agents, a custom CRM is built much faster. And most importantly: you can keep changing it yourself. We deliver every CRM with Nubo, our AI agent: you ask it “add a field for the ID number” or “I want a monthly sales report”, it tests the change on a copy and you decide whether it goes live.

A third way: starting from a ready-made CRM

If you run an events, weddings, rental or quote-based service business, our CRM for events companies is already built and used every day: contacts, PDF quotes, events, a portal for each client, campaigns and alerts. We set it up with your branding in a few days and adapt it to your sector.

How to decide

Ask yourself three questions:

  1. Is my way of working standard, or does it have its own quirks?
  2. How many people will use it, and how much would a paid CRM cost me per year for all of them?
  3. Do I want to be able to change it myself when my business changes?

If in doubt, tell us how you work and we will honestly tell you what suits you, even if the answer is a paid CRM.
